How to Use This Free Invoice Generator

Creating a professional invoice takes less than two minutes with this tool. Fill in your business details on the left — your name or company name, address, email, and phone number. These details will appear in the "From" section of your invoice. Then add your client's information in the "Bill To" section.

For each service or product you're billing, click "Add Line Item" and enter a description, quantity, and unit price. The tool automatically calculates the line total and updates the running subtotal in real time. When you're done adding items, set your invoice date and due date, then hit the blue download button to get a professionally formatted PDF you can email directly to your client.

Adding Your Logo and Brand Colors

To make the invoice look like it came from your business rather than a generic template, click the logo upload area and select your logo file (PNG or JPG works best). Your logo will appear instantly in the live preview on the right. Use the accent color picker to match your brand — choose from the preset swatches or pick any custom color using the color wheel. The color applies to the invoice header bar and the INVOICE heading.

Setting Up Tax and Discounts

If you need to charge sales tax, enter your local tax rate as a percentage in the Tax Rate field. If you're offering a discount, enter it as a percentage in the Discount field. Discounts are applied to the subtotal before tax is calculated. Both adjustments appear as separate line items in the totals section so your client can see exactly how the final amount was calculated.

What to Include in the Notes Field

The notes field is the right place to include your payment instructions — bank transfer details, PayPal address, Venmo handle, or whatever method you accept. You can also include late payment terms here (for example, "A 1.5% monthly fee applies to invoices unpaid after 30 days"), a thank-you message, or any project-specific details relevant to this invoice.

Downloading and Sending Your Invoice

Click "Download Invoice as PDF" and the tool generates a clean, print-ready PDF named with your invoice number and client name. You can attach this file directly to an email, share it via Google Drive or Dropbox, or print it if your client prefers paper. The PDF is formatted for A4/Letter paper and renders sharply at any zoom level.

Does this invoice generator store my data?
No. Everything you type stays in your browser and is never sent to any server. When you close or refresh the tab, the form clears. There's no account, no cloud storage, and no data collection. Your client's information is yours.
Is this invoice generator really free?
Yes, completely free with no limits. There's no watermark on your invoices (other than a small "Created with FreeAdminTools.com" note at the bottom, which you can ignore), no cap on how many invoices you can create, and no upgrade needed. The site is supported by advertising, not by charging users.
What should an invoice always include?
A professional invoice should always include: your business name and contact information, the client's name and address, a unique invoice number (for your records and theirs), the invoice date and payment due date, an itemized list of services or products with quantities and prices, the total amount due, and your preferred payment method. This tool includes fields for all of these.
What's the difference between an invoice and a receipt?

How do I number my invoices?
The most common convention is a sequential number with a prefix: INV-001, INV-002, and so on. Some freelancers use the year as a prefix (2026-001) so they can quickly identify when an invoice was issued. The key is to be consistent — sequential invoice numbers make it much easier to track payments and follow up on overdue invoices.
Can I use this for international clients?
Yes. The currency selector supports USD, GBP, EUR, CAD, AUD, and NZD. For international invoices, it's a good idea to specify in the notes field which country's bank account you're using for payment, especially if you're accepting wire transfers.
